As we continue to grow, we’re looking for a highly motivated, highly organized, detail-oriented self-starter to help coordinate our office operations and keep projects moving smoothly and on schedule.

Position Overview

The Operations Coordinator plays a key role in supporting day-to-day operations while helping coordinate project scheduling, communication, and administrative flow. This person helps keep our team aligned, our calendar organized, and our jobs moving forward with clarity and consistency.

Key Responsibilities

  • Support day-to-day office operations and administrative systems
  • Assist with scheduling projects, maintaining the master calendar, and coordinating timelines with production/field leadership
  • Communicate schedule updates internally and with customers as needed
  • Help coordinate vendors/subcontractors and job logistics to support schedules
  • Manage incoming calls, emails, and customer communication with professionalism
  • Maintain job files, documentation, and internal records (contracts, permits, compliance items, etc.)
  • Process invoices, payments (including ACH), and support basic bookkeeping tasks (QuickBooks a plus)
  • Assist with payroll coordination, HR documentation, and employee records
  • Support leadership with reporting, organization, and process improvement
  • Help identify inefficiencies and improve systems as the company grows

Qualifications

  • 2+ years of administrative or operations support experience
  • Strong organizational skills and ability to manage multiple moving parts
  • High attention to detail and follow-through
  • Excellent written and verbal communication skills
  • Tech confident: Microsoft Office / Google Workspace
  • Self-starter mindset with strong problem-solving ability
  • Construction/trades experience preferred, but not required
